Solimar Helps Hastings Insurance Streamline Document Workflows

Solimar Systems interviewed Michael Schaper, Director of Application Development at Hastings Insurance Company to discuss how implementing a customized Solimar solution has helped his organization streamline document workflows allowing them to become more productive while lowering operational costs.

Hastings Insurance is required to develop and distribute several different types of documents, including contracts/policies, correspondence/letters, internal reports, bills/invoices, statements and more. Each type has its own requirements and production challenges.

Hastings Insurance identified four objectives they sought to implement to improve the workflow of their document communications workflows:

  • A system that is easy to configure and maintain
  • Scalability to enable future growth and expansion
  • Ability to combine all print streams, including legacy and new, to achieve maximum postal efficiencies and discounts
  • Integrate with USPS presort applications to enable householding, size segmentation, and inserter barcodes

“In selecting the Solimar system, Hastings Insurance sought a solution that was more flexible, easier, and less costly to maintain,” said Schaper. Hastings Insurance researched industry solution options to help drive and manage their document production workflows. After completing their analysis and seeking recommendation from industry consultants, they selected the Solimar Chemistry™ Platform as the most complete offering for their needs. The solution components include Solimar® Print Director™ Enterprise (SPDE), Rubika®, SOLindexer™ and SOLfusion™.

“Hastings Insurance is now well on its way to achieving success in its business transformation program,” said Schaper. “Through the use of the Solimar SPDE product, we are able to receive print streams from both the mainframe and network-based systems and convert them to PDFs. The SOLfusion, SOLindexer, and Rubika products allow us to perform householding, segmentation by document size, import/export/sorting capabilities with USPS presort applications, and the application of USPS and inserter barcodes.”

SPDE coupled with Rubika and SOLfusion gives Hastings Insurance a robust solution that provides several ways to streamline workflows through automation. Rubika is an award-winning post-composition document re-engineering solution specially designed to automate manual processes, maximize postal savings, and enhance print data. Unlike other solutions, which rely on custom programming, Rubika requires minimal coding at the application level and provides an intuitive user interface to rapidly implement production changes.

Since implementing the integrated Solimar system, the output process has become automated and efficient. “Using our new Solimar solution, our new workflow is streamlined and automated,” said Schaper.

Schaper adds, “The output designated for postal processing is indexed, concatenated, householded, segmented by document size, exported to a third party postal presort application, imported back into the Solimar solution to sort the documents and apply the USPS IMB and inserter barcodes. The data stream is then converted to PostScript where the operator uses the SPDE Queue Manager to select the optimum printer for the job.”

Hastings Insurance has discovered that Rubika may be used to solve a variety of challenges and can be configured in many different ways to increase efficiencies, reduce costs and boost profitability. A measureable system benefit that Hastings Insurance has discovered include a reduction in development costs. “Using our current Solimar solution, we have cut our development costs by over $30,000 per year,” said Schaper.

Hasting Insurance’s overall customer experience with Solimar has been positive and timely.
